Job Description


Under the supervision of the Clinical Director, the Dental Assistant Supervisor is responsible for overseeing the Dental Assistants focusing on administrative tasks and management with less direct patient care time. The DA Supervisors provides administrative and operational support to the Dental Department.

Representative Duties:

Provide Clinical and Operational support to Dental Department Daily Functions

  • Evaluate operational systems, suggest improvements, and implement approved changes
  • Monitor patient flow within the office to promote efficiency and optimal Departmental functioning
  • Ensure adherence to sterilization/lab area protocols
  • Ensure safe use, disposal, and storage of chemicals or hazardous materials including dental amalgam, sharps, and biohazard materials
  • Maintain all Dental Department areas in compliance with Department directives and protocols
  • Comply with all center policies and procedures relative to infection control, exposure control and safety issues
  • Provide Dental Director with statistics and other data as requested
  • Maintain strict compliance with State, Federal and other regulations, (e.g., OSHA, Dental Board, HIPAA, ADA, and Fenway Health HR policies and procedures

Effectively communicate within the Dental Department and across departments

  • Communicates needs to Dental Director and ensure timely resolution of any issues
  • Serve a liaison to sterile processing department and Infection Control Officer for proper upkeep of sterilization protocol to ensure equipment is available for use.
  • Serve on the Infection Control Committee with the Dental Director in support of Joint Commission continued accreditation
  • Organize operatories to ensure that appropriate equipment and materials are available for use
  • Perform independent procedures as directed in accordance with state regulation/laws and Dental Department directive and protocol

Performs duties which assist the Dental Providers in the care and treatment of patients

  • Oversee all clinical orders through various vendors, maintaining the KanBan efficiency ordering to ensure an adequately stocked clinic and maintaining budget
  • Organize operatories to ensure that appropriate equipment and materials are available for use
  • Perform independent procedures as directed in accordance with state regulation/laws and Dental Department directive and protocol
  • Organized and ensure all lab cases have been received for daily patients
  • Perform and ensure all completion of in house laboratory work
  • Serves as Dentist’s or Hygienist’s chair-side assistant; focusing on proper coverage and efficient room turnover for clinic scheduling

Effectively communicate with patients, Dental Assistants, students, vendors and other colleagues essential to the Dental Department

  • Communicate as appropriate with the laboratory to ensure timely case turnover as required; process, track and record outgoing and incoming laboratory prescriptions and cases for all Staff Dentists
  • Communicate with necessary vendors to coordinate clinic repairs and ensure equipment is available for use.
  • Effectively communicate and oversee with the DA student extern program to maintain a consistent influx of students.
  • Ensure operatory chair maintenance is complete

Assist with front-end operations when needed

  • Maintain patient confidentiality, and behave professional as suitable for a highly visible position
  • Follow established policies for emergency appointment scheduling to help the front desk when needed
  • Effectively guide patients through dental appointment and transition from clinical to administrative care

Provide training and supervision to assigned staff following FCHC policies and procedures

  • Manage the interviewing and hiring process for all dental assistants to maintain adequate coverage for all dental providers
  • Adhere to the best practices of successful staff supervision
  • Provide all dental assistants and externs with a comprehensive program orientation
  • Insure that staff received sufficient training regarding the full range of responsibility including infection control procedures, competencies, dental health record procedures, reappointment procedures, etc.
  • Assists in arranging continuing professional education, in-service training and orientation
  • Delegate daily/weekly tasks and other responsibilities to other Dental Assistants
  • Maintenance of all daily/weekly/monthly duties and tracking via ASANA or other project management systems
  • Schedule Dental Assistants to ensure adequate and efficient coverage including management of time off requests
  • Biweekly timesheet approvals for all dental assistants
  • Arranges monthly one-on-one direct report meetings and regular dental assistant staff meetings
  • Participation in weekly supervisor meetings for effective department communication
  • Provide regular written evaluations of assigned staff following agency evaluation guidelines
  • Completes annual updated competencies on all dental assistants
  • Make employment-related decisions regarding assigned staff within the scope of defined authority and following established agency and program guidelines

  • Maintains professional competence necessary to perform job responsibilities; maintains and provides agency with records of continuing education activities
  • Serves on agency committees and in professional organizations when requested

  • Certification as a Dental Assistant
  • Minimum of three years of experience as a Dental Assistant; experience in a multi-specialty/group practice or community health center setting strongly preferred
  • Strong working knowledge of Dental Office procedures and Certified Dental Assistant functions (eg mixing amalgams and cements, reading and maintain patient charts, instructing patients on oral health care and operating x-ray equipment)
  • Massachusetts Radiology Certification
  • Successful supervisory experience
  • CPR Certification
  • Basic knowledge of professional and legal standards required for working as a Lead Dental Assistant
  • Knowledge of the equipment, materials, procedures, and terminology used in dentistry (e.g. laboratory equipment, restorative and impression materials, and instrumentation)
  • Ability to read, analyze, and interpret documents such as procedure manuals, operating and maintenance instructions, and governmental regulations
  • Excellent interpersonal and computer skills
  • BORID registered license
